E-mail writing: How to write e-mail

 How to write e-mail

What is E-mail?

Electronic mail, commonly shortened to “email,” is a communication method that uses electronic devices to deliver messages across computer networks. "Email" refers to both the delivery system and individual messages that are sent and received

How does email work?

Email messages are sent from software programs and web browsers, collectively referred to as email ‘clients.’ Individual messages are routed through multiple servers before they reach the recipient’s email server, similar to the way a traditional letter might travel through several post offices before it reaches its recipient’s mailbox.

An
individual email is made up of three primary components:

1. The SMTP envelope,

2. The header and

3. The body.

How many Kinds of E-mail?

Three are two kinds of E-mail.

There are     1. Formal E-mail and

                     2. Informal E-mail

What is formal E-mail?

A formal email is an email that you send to a person (or group of people) that you don't know or an important email that you are sending to a person in a position of authority – your boss, for example.

What is informal E-mail?

An informal email is written to any relatives, family or friends. There are no particular rules for informal email writing. A person can use any language of his or her choice.

What is an email address?

An email address is a unique string of characters that identifies an email account, or ‘mailbox,’ where messages can be sent and received. Email addresses are formatted in three distinct parts: a local-part, an “@” symbol, and a domain.

or example, in the email address learnwith@toha,com, “learnwith’’denotes the local-part and “toha.com” denotes the domain.

Imagine addressing a letter: the domain signifies the city where the recipient lives, while the local-part specifies the street and house number at which the letter can be received.Local-part

1.From Address

Use the From Address at the beginning of an email. Especially here is the person's own email address. That is, you mention your own email address here. In writing the email address, it is recommended to use every letter in small letters.

You can also use numbers if you want when writing an email address. Eg: toha02@gmail.com . But one thing should be remembered, no spaces or blanks can be given in writing the email address. That is, the entire address must be entered without spaces or blanks.

   2. To Address

Enter the email address of the person to whom you want to send the email here. Just follow the above rule for writing the email address.

   3. Time to send email (Sent)

Write here the exact time you are sending the email. Students usually mention in the email the time of writing the email in the notebook. Time writing shall refer to the day, date and year. As Sent: Monday, 07 August, 2023.

4. The subject of the email

Subject writing is one of the most important tasks in email writing. Briefly state the subject you are writing the email on in one line. Imagine you were told to write an email inviting a friend to a birthday party. In that case your possible subject will be: Inviting for birthday party.

5. Salutation or Greeting

The body of an email begins with a polite inquiry. So create a suitable greeting before writing the body of the email. That is, exchange skills with the person you are writing an email to. Usually Salutation or Greeting are like this: I hope you're well by the grace of Almighty. I'm also well.

Add a farewell salutation or closing comment at the end of the email. Here you can restate the main point of your email in one sentence and add a comment at the end. A typical farewell greeting in a personal email usually goes something like this: No more today. Wish you good health and prosperity. Write me soon.
